Digitization of Paper Archival Materials is Starting at Sakpatenti

An agreement was signed between Sakpatenti and the National Archives of Georgia, based on which the National Archives will provide archival services to Sakpatenti for the purpose of creating material and electronic archives of the Office.
In the process of forming the archive, the National Archives of Georgia will ensure scientific and technical processing of the existing material documentation from the foundation of the Office to the present day, which is the recommended standard of the National Archives. The mentioned procedure implies conducting examination of material documents, drawing up descriptions, signing a waste paper act for documents to be destroyed, etc. After completion of the mentioned work, the National Archives will carry out digitization of the paper material. Thus, by increasing the range of consumer tools, easy and fast access to documents in electronic and material formats will be achieved at Sakpatenti, as well as diversification of information protection, to reduce risks caused by various changes and dependence on one type of product.
The necessity to carry out the above-mentioned activity was caused by the migration of material documents to electronic format. Taking into account the conditions of this accelerated digital transformation and the requirements of the international quality management standard ISO 9001:2015 (management of documented information), it was decided at Sakpatenti to systematize the documents formed in 1992-2017, which are preserved at different areas of the institution and require uniform organization.
In the process of organization and formation of the archive, the resources of Sakpatenti staff will also be used. They have already passed theoretical and practical training on archival work. Formation of the material and electronic archive of Sakpatenti is a long process and will last approximately 5 years. For the organization, modern digital technologies are an opportunity to improve access to electronic documents and a guarantee of permanent storage.
